How to Bulk Upload Attendees from Offline Ticket Sales

Learn how to add attendees who purchased tickets offline to Trellis so you can manage them in the Check-In Tool.

If you sold tickets outside of Trellis you can still manage those attendees in Trellis. A bulk upload adds a large number of attendees at once instead of entering them one by one. Before you request a bulk upload, you'll need to turn on events and create the event tickets you'll assign to your attendees.

How to Bulk Upload Attendees from Offline Ticket Sales

Step 1: Turn On Events and Create Your Event Tickets

Each uploaded attendee needs to be assigned an event ticket, so your tickets must exist in Trellis before you submit your upload.

  1. From your fundraiser builder, navigate Event Tickets in the sidebar.
  2. Toggle on Enable Events.
  3. Click Edit Event Tickets.
  4. Click the pencil icon to edit the Attendee Bulk Upload event ticket.
  5. Fill in your event ticket details, such as description.
  6. Click Save, then Publish Changes in the top-right corner.

Pro Tip: We recommend using complimentary event tickets. Every bulk upload creates offline checkouts, which appear in your exports and are added to your gross total and fundraising thermometer. Using complimentary tickets keeps your offline sales from being counted twice. You can use one complimentary ticket for all attendees, or create separate complimentary tickets (for example, a complimentary sponsor ticket) to keep attendee types organized.

For more details on how to use and configure a complimentary event ticket, please refer to this article.

Heads Up! Bulk uploads only support single ticket types. If you want attendees to appear as a group in your Check-In Tool, such as a table of 10, don't include them in your bulk upload. Process grouped tickets through the Sales Entry System instead.

Step 2: Prepare and Submit Your File

Frequently Asked Questions

Why do I need to create event tickets before uploading?
Every uploaded attendee must be assigned an event ticket. The Ticket Name in your file must match an event ticket in your event settings, or the attendee can't be uploaded.
Why should my event tickets be complimentary and hidden?

Bulk uploads create offline checkouts that affect your reporting, gross total, and thermometer. Complimentary tickets prevent offline sales from inflating your totals, and hidden visibility keeps the tickets off your public fundraiser page.

Can I bulk upload grouped tickets?

No. Only single tickets are supported. To have attendees appear as a group in your Check-In Tool, such as a table of 10, use the Sales Entry System.

Don't have all your attendees' emails?

You can leave the email field blank and update it later in the Check-In Tool. If an email isn't included, the attendee:

  • Will not have a Trellis account created
  • Will not be able to see or edit their event ticket, including custom fields
  • Cannot complete a purchase until they provide an email
  • Will not see items you add to their cart

Can attendees reassign tickets later?

Yes. If a unique email address was provided, a Trellis account is automatically created for the attendee, and they can reassign their ticket from their account.

Where can I put custom field answers?

Include custom field answers in the Notes column.

Will attendees be charged?

No. Attendees are not charged when uploaded through a bulk upload.

Will attendees be notified or receive their tickets?

No. Attendees will not receive confirmation emails, receipts, or tickets when a bulk upload is complete.

Can I delete attendees after a bulk upload?

No. Once a bulk upload is complete, attendees can't simply be deleted. Refunds must be issued instead.
