How to Use RE NXT Constituent Lookup in the Sales Entry System (SES)

RE NXT Constituent Lookup lets you fill purchaser contact info by searching your existing constituent database.

When entering a sale through the Sales Entry System (SES), you can search for an existing individual constituent instead of typing their contact details manually. Selecting a match auto-fills the purchaser's contact information, saving time and keeping your records consistent.

How to Use Constituent Lookup

  1. From the SES, on Step 1, find the RE NXT Constituent Lookup section.
  2. Select a Search By option: either Contact information or Constituent ID.
  3. In the Search Individual Constituents field, start typing a name, email, phone number, or address.
  4. Select the matching constituent from the dropdown results.
  5. Click Use Constituent to auto-fill the Contact Information fields below.
  6. Review the filled-in fields, then continue with the purchase.

Please Note: Constituent Lookup only searches individual constituents. Company constituents will not appear in search results.

Making a Purchase on Behalf of a Company

If a company is making the purchase, look up and select the individual responsible for the purchase, then add the company name in the Company field. This makes the sale a company purchase while keeping the individual as the point of contact. 

  1. Search for and select the responsible individual using the steps above.
  2. Note the contact information fields (email, phone) should be completed with individual information. 
  3. Enter the Company name in the Company field.
  4. Mailing address (if asked) should be the company's.
  5. Continue completing the purchase as normal.

The gift will be synced to the company, not the individual.

Frequently Asked Questions

Can we use the constituent ID to look up a constituent?

Yes, you can look up a constituent using constituent ID. This is the customizable ID on the constituent in RE NXT.

It is not the same as the System Record ID, which is a unique and non-customizable ID that RE NXT sets by default, and we use to link back to constituents.

If we use the lookup tool, does the integration still need to constituent match?

Yes, the constituent lookup tool is only to pre-fill the contact information fields. It does not automatically make a match to that constituent. Our integration will still go through the constituent match process.

Can we lookup a company constituent using this feature?

No, the constituent lookup only works for individual constituents at this time. 

Can we enter a purchase on behalf of a company without an individual representative?

No, all purchases must have an individual that is responsible for the purchase. Companies alone cannot make purchases on Trellis. Companies also cannot have donor accounts.

I am searching for an existing constituent, why are no results are coming up?

Check to make sure you are searching for an individual constituent, not a company. Then confirm the individual's name spelling in RE NXT. If that still does not work, try searching by Constituent ID. If that still does not work, please report to us via this form.
