How to Send Event Ticket PDFs

Learn how to enable event ticket PDFs, how the system generates and updates them, and how they are sent to your attendees.

Enabling Event Ticket PDFs

To turn this feature on or off for your event, navigate to your Dashboard and go to Fundraiser Builder > Fundraiser Settings > Checkout Options > Send Electronic Tickets.

Here you can toggle the option to enable or disable the creation and sending of PDF tickets. Note that this toggle is enabled by default.

What Event Tickets Look Like

The PDF ticket attached to the email will look like the example below:

How Event Tickets Work

Event tickets are generated automatically at the time of purchase using the ticket holder's information.

Ticket Assignment:

  • If tickets are assigned during purchase, the tickets generated will have the ticket holder's name on them, and copies of the PDFs will be sent to both the purchaser and the ticket holder.
  • If ticket assignment is skipped during purchase, all generated tickets will be assigned to the purchaser and emailed only to them.

Updating Tickets:

  • If the ticket purchaser or organization changes the ticket holder's name, Trellis automatically regenerates the ticket with the new holder's name.

Sending Tickets from the Check-In Tool

Organizations now have the option to manually send a copy of the event ticket to individual ticket holders directly from the Check-In Tool.

To do this:

  1. Open the Check-In Tool

  2. Click Edit Attendee on the specific ticket holder.

  3. Scroll to the bottom of the page.

  4. Check the checkbox "Send confirmation and ticket to attendee" to send the email.

  5. Click save to trigger.
    1. Note: You do not have to edit the attendee to send the ticket.

Frequently Asked Questions

Q: Can we customize the design or content of the event ticket PDF?

A: No, not at this time. We recommend you create a designed graphic/pamphlet you set as a custom attachment to event tickets. Then when a ticket is purchased or assigned, they receive both your custom graphic, and the auto-generated PDF from Trellis.

Q: Can we edit the email that is sent when sending a ticket holder their ticket?

A: No, not at this time, but it is something we have in the backlog and are monitoring for future improvement. If this is something you are interested in, please upvote it in our idea bank from the announcements sidebar in your dashboard or reach out to support@trellis.org.
