How to Use Rapid Check-In with QR Code Scanning

If you need to get attendees through the door quickly and do not care about personal information, you can use our Rapid Check-In feature with QR code scanning to make registration a breeze.

When you use the Rapid Check-In feature, our Check-In Tool will not prompt volunteers to gather personal information on attendees when they are checked in. This is ideal for non-seated events, where you do not need all guest information, just confirmation that they have a ticket to enter. 

Rapid Check-In can be used in tandem with our QR Code Scanning feature, which allows you to scan the QR code on an event ticket to quickly find and check-in the attendee.

How to Enable Rapid Check-In

  1. From your Fundraiser Builder, go to Fundraiser Settings > Check-In Tool
  2. Enable the Rapid Check-In toggle
  3. When enabled:
    1. Volunteers will not be prompted to collect contact information or credit card details from attendees.
    2. Sign-In Links will still be sent to attendees that have phone numbers on file.
  4. Publish your fundraiser to confirm settings change.

How to Check-In Attendees with Rapid Check-In

  1. Go to your fundraiser's Check-In Tool, either from the dashboard or at esm.trellis.org
  2. Search for the attendee you would like to check-in.
    1. If you have instructed guests to bring their event tickets (physical or digital), click "Scan Ticket" to open the QR code scanner.
    2. Position the QR Code scanner over the QR code on the ticket.
    3. The scanner then "clicks" the Check-In button for that attendee, the same as if you had found them in the check-in tool manually.
  3. When the attendee is checked-in, you will see a success popup at the bottom of the screen, indicating the attendee was checked-in.
    1. Volunteers will not be prompted to get contact information or save credit cards.
  4. The volunteer can then move on to the next attendee.

Frequently Asked Questions

Q: Do I have to use Rapid Check-In to use the QR code scanner?

A: No, the QR code scanner is always available in the Check-In Tool, even for a regular check-in process. The scanner is also available on laptop, if your laptop has a web camera.

Q: Will my attendees receive any communication when checked in?

A: If the attendee has a phone number on file, they will receive a welcome text once they are checked in, with a link to your fundraiser. If they do not have a phone number on file, they will not receive any communication.

Q: We are doing a gala, but we still need to get attendees through the door as quickly as possible. Is Rapid Check-In an option?

A: You should only use Rapid Check-In if you do not need to collect attendee information. Typically for galas, it is important to know everyone who attends, and ensure they are seated at a table. Our regular check-in process is designed to reduce friction at registration when collecting guest info.

Q: How many volunteers do we need at registration if we are doing Rapid Check-In?

A: If your check-in is purely scanning tickets and admitting attendees through the door, we recommend 1 volunteer per every 75-100 attendees. If there is another action happening during registration (handing out gifts or other items), then you may want to consider 1 volunteer per every 50 attendees, depending on those actions.

Q: What happens if the same QR code is scanned more than once?

A: Our system currently does not track whether or not a QR code was scanned, it simply triggers the check-in process.
