This article outlines how you can communicate table numbers to attendees to ensure a smooth check-in experience!
There are two ways you can communicate table numbers to attendees. The first is by simply checking them in - our system will include their table number in the welcome SMS text they are sent at check-in! The second is by using our Messaging System to send an email or SMS text that includes the table number as a merge tag.
Read on to learn more about each option.
Automatic SMS at Check-In
When an attendee is checked in via our Check-In Tool and has a phone number on file, they will receive an SMS message with their table number and a one-time login link to their account.
Here is what the SMS message will say:

If the attendee is assigned to a table:
"Welcome to [Fundraiser Headline]! Your table number is ##. Here's your one-time login link to your account: [URL]" -
If the attendee is not assigned a table:
"Welcome to [Fundraiser Headline]! Here's your one-time login link to your account: [URL]"
You can also manually send table numbers to attendees using the "Send Sign-In Link" function. This follows the same logic as the check-in SMS:

If the attendee has a table number, it will be included in the message.

If no table number is assigned, only the sign-in link will be sent.
Please note:
The email notification that is automatically sent at check-in does not include the table number. If you would like to use this feature, ensure you gather phone number at check-in.
You will also want to ensure phone numbers are accurate for attendees, so they someone doesn't accidentally get a text meant for someone else.
Sending Table Numbers Using the Messaging System
A new "Table Number" merge tag is available in the messaging system to personalize messages sent to attendees.
How to Use It

Go to the messaging system.

Select Attendees as the recipient group.

Use the "Table Number" merge tag in your message.
- This will insert the table number directly into your message.
- If an attendee does not have a table number assigned, the merge tag will display "not assigned."
- You can send yourself a test email or SMS message, and it will use the table number 1.
Please Note:
This merge tag is only available when the recipient group is Attendees.
This feature ensures attendees receive their table information efficiently, improving their event experience.
