How to Send Attendees Their Table Numbers

Learn how to communicate table numbers to attendees for a smooth check-in experience.

Trellis offers two ways to share table numbers with attendees: automatically via SMS at check-in, or manually using the Messaging System with a table number merge tag.

Option 1: Automatic SMS at Check-In

When an attendee is checked in through the Check-In Tool and has a phone number on file, they will automatically receive an SMS with their table number and a one-time login link.

The message will vary based on table assignment:

  • If assigned a table: "Welcome to [Fundraiser Headline]! Your table number is ##. Here's your one-time login link to your account: [URL]"
  • If not assigned a table: "Welcome to [Fundraiser Headline]! Here's your one-time login link to your account: [URL]"

You can also trigger this message manually using the Send Sign-In Link function, which follows the same logic above.

Heads Up! The automatic check-in email does not include the table number — only the SMS does. Make sure you collect phone numbers at check-in, and verify they are accurate so messages reach the right attendees.

 

Option 2: Send Table Numbers via the Messaging System

You can use the Table Number merge tag in the Messaging System to include table numbers in a custom email or SMS sent to attendees.

How to Use the Table Number Merge Tag

  1. Navigate to the Messaging System.
  2. Set the recipient group to Attendees.
  3. Insert the Table Number merge tag into your message body.
  4. Send a test message to preview — it will display table number 1 as a placeholder.
  5. Send your campaign immediately or schedule for a later date.

 

Great way to send table numbers to attendees ahead of your event!

Please Note: The Table Number merge tag is only available when the recipient group is set to Attendees. If an attendee has no table number assigned, the merge tag will display not assigned.

What happens if an attendee doesn't have a phone number on file?

They will not receive the automatic SMS at check-in. To ensure all attendees get their table number, consider using the Messaging System to send an email with the Table Number merge tag.

Can I send table numbers before the event?

Yes. Use the Messaging System with the Table Number merge tag to send a pre-event email or SMS to attendees at any time.
