How to Use the Fund-A-Need Quick Entry Tool

The Fund-A-Need Quick Entry tool is designed to help you quickly record gifts received during a paddle raise or fund-a-need moment at your event. This tool simplifies the process, allowing you to efficiently update your auctioneer and host on the total amount raised in real-time.

Not only can you track gifts easily, but you can also process payments and send tax receipts to donors instantly, making post-event wrap-up smooth and stress-free.

When to Use the Fund-A-Need Quick Entry Tool

The best time to use the Fund-A-Need Quick Entry tool is right after your gala’s paddle raise, where guests physically raise their paddle or hand to pledge a donation. A volunteer should record their paddle number and donation amount.

Once the pledges are collected, use the tool to quickly input the gifts, process payments for guests who have credit card details on file, and issue tax receipts.

Avoid using the Quick Entry tool during the live paddle raise, as you might miss a pledge while adjusting settings. Instead, capture the pledges offline and use the tool afterward to enter the gifts and announce the total amount raised.

How to Use the Fund-A-Need Quick Entry Tool

  1. Log in to your Trellis account.
  2. Navigate to the Page Builder.
  3. On the left-hand side, go to Settings.
  4. Select Donations.
  5. Click Fund A Need Settings
    1. Here, you can set donation tiers that guests will see on their mobile devices to easily donate during the event. These tiers will also appear in the Fund-A-Need Quick Entry tool.
  6. At the same time, configure your Payment Option settings for the Quick Entry Tool, either marking all gifts as Pledges, or Charge and Pledge, which will charge donors with saved credit cards, and create pledges for any donors who do not have a saved payment method.
  7. Press Publish Changes.
  8. Head to your Main Dashboard.
  9. Click the Event and Sales Manager icon under your fundraiser.
  10. Select the FAN Quick Entry Tool.
  11. Choose the Donation Amount your donor has committed to.
  12. Enter the donor’s Paddle Number.
    1. Note: You can only enter FAN Quick Entry donations by paddle number. 
  13. Click Confirm next to the donor’s name.
    1. Once the gift is processed, a confirmation pop-up will appear at the bottom of your screen.
  14. Enter the next donor’s Paddle Number.

Pro Tip: Once a donation amount is confirmed, it will remain selected. For faster entry, we recommend processing all donations of the same amount together.

 

If you have guests marked as Reassign in the check-in tool, you cannot process Pledges for them. The Reassign tag means the attendee does not have a unique email address, which is required to proceed.

Trellis also offers the Pre-Seeded Donations feature, perfect for entering and displaying pre-committed contributions on-screen during your event. Keep in mind that Pre-Seeded Donations are not pledges and won’t be charged as donations—they're for display purposes only.
