This article will explain what happens once the silent auction closes and what to do to wrap it up.
Once your silent auction has closed, it's time to start confirming payments and handing out silent auction items to winners!
All silent auctions on Trellis end automatically on the date and time you set in your builder. Once your auction closes, credit cards are automatically charged. For more on the auction auto-pay system, view How Payments Are Processed for Silent Auctions (Auction Autopay)
Please Note:
Auction auto-pay could take 5-15 minutes to complete, depending on how many items you have. Please allow time for the system to finish processing before you attempt to process donor's carts from the check-in tool.
1. Ensure that all your winners' bids were paid successfully.
- Once your auction ends, the system will try to charge your winner's default payment method. However, some of them might have not gone through successfully due to banking reasons.
- To check those, navigate to your Dashboard then select Results. Click Bids under Auctions.
- Select "Only Show Winners" beside the filter.
- If the winner's credit card payment fails, the auction item is added to their cart and they are automatically emailed and texted a notification with a link to complete their purchase.
- If you see winners that are tagged "Unpaid", click on the three vertical dots to open the menu.
- Award to next bidder: This makes the next highest bidder the winner.
- Mark as Paid: This marks the auction item as paid via an offline payment method.
- Message Bidder: This allows you to email the bidder to request payment.
3. Review Donated Auction Bids
- If you see this donated bid icon on a bid that is "Outbid" and "Unpaid" that means that the donor opted to donate all or a portion of their bid. This will show up as a donation on your fundraising report.
- Please note that the "Unpaid" status only refers to winning bids, not donated auction bids.
Once all of your winners' items are paid for you may now extract your checkout report to see your sales and fees breakdown!
