How to Check Raiser's Edge Activity with the Audit Log

This article explains how to export the Raiser's Edge Audit Log. This Log allows you to see which constituents matched, how gifts synced, and how data flows into Events on Raiser's Edge.

How to Export the Raiser's Edge Audit Log

  1. Login to your Trellis account. 
  2. Go to the Main Dashboard, and click Integrations on the left side panel. Then select Blackbaud
  3. Next to Settings, select Audit Log
  4. Customize your Audit Log through the options in the pop-up dialogue.
    1. You can filter by fundraiser, or leave it blank to pull all fundraiser data.

Understanding the Raiser's Edge Audit Log

The Raiser's Edge audit log is broken down into the three main sync processes that happen with the integration:

  1. Constituent Match
  2. Gift Sync
  3. Event Participant Sync

Constituent Match Sheet

This spreadsheet shows you every time our system attempted to match donor or ticket holder with a constituent in your Raiser's Edge Database. This is triggered by:

  • Someone making a purchase on Trellis
  • A ticket holder being assigned / reassigned to an attendee
  • A purchase being moved from a Company to an Individual and vice versa
  • An attendee bulk upload (if configured)
  • Free checkouts (if configured)
  • Auction bidders (if configured)

This sheet will show you the following information:

  1. Sync Timestamp: This is when the information synced to Raiser's Edge. This could be payout date depending on your integration settings.
  2. Trellis Action: This is what action on Trellis triggered the sync, such as a checkout, bulk upload, or ticket holder assignment.
  3. Trellis Action Timestamp: This is the date of the action on Trellis.
  4. Fundraiser ID and Name: The fundraiser where the activity happened.
  5. CheckoutID: The unique Trellis identifier for the checkout.
  6. Trellis Donor Name: The name that was entered into Trellis.
  7. Trellis Donor Email: The email that was entered into Trellis.
  8. Constituent Type: Will either be Individual or Organization.
  9. Match Status: This is whether the integration matched with an existing constituent or created a new one.
  10. Constituent Name: The name of the Raiser's Edge constituent that was either Matched or Created. Will show the individual or the organization's name.
  11. System Record ID: This is the Raiser's Edge unique identifier for that constituent. It is not "constituent ID" as that can be edited and therefore not unique.
  12. Email, Phone, Address Added: This is any contact information that was added to the constituent during the sync.

Please Note:

  • If an individual made a purchase on behalf of a company, there will be two lines for that transaction in this sheet: one for the organization constituent match, and one for the individual.
  • The Constituents tab will show if we were able to match to an existing non-constituent, but it will not show if we created a new non-constituent.

 

Gift Sync

The gift sync sheet shows you every time a gift syncs into Raiser's Edge, and who it syncs to. 

This sheet will show you the following information:

  1. Sync Timestamp: This is when the information synced to Raiser's Edge. This could be payout date depending on your integration settings.
  2. Trellis Action: This is what action on Trellis triggered the sync, such as a purchase.
  3. Trellis Action Timestamp: This is the date of the action on Trellis.
  4. Fundraiser ID and Name: The fundraiser where the activity happened.
  5. CheckoutID: The unique Trellis identifier for the checkout.
  6. Trellis Donor Name: The name that was entered into Trellis. Will show the individual or company name.
  7. Trellis Donor Email: The email that was entered into Trellis.
  8. Constituent Type: Will either be Individual or Organization.
  9. Constituent Name: The name of the Raiser's Edge constituent that was either Matched or Created.
  10. System Record ID: This is the Raiser's Edge unique identifier for that constituent. It is not "constituent ID" as that can be edited and therefore not unique.
  11. Purchase Type: The type of fundraising driver purchased on Trellis (Event Tickets, Donation, Auction Item, Raffle Ticket, etc)
  12. Line Item Name: The name of the thing the person purchased.
  13. RE NXT Gift ID: The unique Raiser's Edge identifier for the gift that synced.
  14. Gift Amount: The amount of the gift that synced into Raiser's Edge.
  15. Gift Credit: Whether the gift was a hard or soft credit.
  16. Gift Type: The gift type, as configured in your Raiser's Edge settings.
  17. Gift Date: The date added to the gift. This should always be the date of the purchase.
  18. Receipt Amount: Any tax receipted amount on the checkout.
  19. Receipt Status: Whether the gift was receipted on Trellis or needs a receipt.
  20. Fund: The Fund set for this specific line item.
  21. Campaign: The Campaign set for this specific line item.
  22. Appeal: The Appeal set for this specific line item.
  23. Package: The Package set for this specific line item.
  24. Payout ID: Shows the Trellis payout ID if the gift has been paid out. 

Event Participants

This sheet refers to any Raiser's Edge Event you have connected to your Trellis fundraiser. Trellis will sync attendee data into Raiser's Edge as Event Participants.

This sheet will show you the following information:

  1. Trellis Action: This is what triggered the sync, such as an attendee created or an attendee reassigned.
  2. Trellis Action Timestamp: This is the date of the trigger, such as when the ticket holder was reassigned.
  3. Fundraiser ID and Name: The fundraiser where the activity happened.
  4. RE NXT Event: This is the name of the connected event in Raiser's Edge.
  5. CheckoutID: The unique Trellis identifier for the checkout.
  6. Trellis Donor Name: The name that was entered into Trellis.
  7. Constituent Type: Individual or organization. 
  8. Constituent Name: The name of the Raiser's Edge constituent that was either Matched or Created.
  9. System Record ID: This is the Raiser's Edge unique identifier for that constituent. It is not "constituent ID" as that can be edited and therefore not unique.
  10. Party Member: Indicates if this participant is the host or a guest of someone else's party.
  11. Participant ID: This is the unique identifier for the Participant record created in Raiser's Edge. (Note: Participants must be linked to a constituent, or are left as Guest of [Host Name])
  12. Attendance: This is the status added to the participant in Raiser's Edge. It is always "Attending" from Trellis as we do not have an RSVP system to say "Declined".
  13. Checked-In: This will indicate whether the attendee was checked-in when using our Check-In Tool.
  14. Notes: These are any notes that are on the attendee.
  15. Participant Fee: Shows which participant fees (event tickets) were added to the participant, if connected.
  16. Participant Fee Amount: Shows the amount of the participant fee added.
  17. Other Fee: Shows which other fees (Items for Sale) were added to the participant, if connected. 
  18. Other Fee Amount: Shows the amount of the other fees added.

Frequently Asked Questions

Why does a checkout appear on the Constituent Match sheet but not the Gift Sync sheet?

This usually indicates that there was an error when trying to sync the transaction that caused the gift to fail to sync. Since the sync happens in three phases, it starts by syncing the constituent, which is successful, but then fails to sync the gift. If it fails to sync the gift, it cannot sync Event Module Participants.

The most common reason why gifts fail to sync is because:

  • Fund is missing from Campaign, Fund, Appeal and Package settings
  • The Appeal/Package combination is invalid
  • The gift date is outside of the start/end date for Fund, Campaign, Appeal or Package

How can we see if any duplicate constituents were created?

While our audit log does not have context to know if duplicates were created, you can use the Constituents sheet and filter by the Constituent Status column for "Created". This will show you all the constituents the integration created, for your review in your RE NXT database.
