Trellis Raffles & 50/50s Process

In this article, you should clearly understand the process of launching raffles & 50/50s with Trellis. Unlike the other revenue drivers, our team is responsible for building your raffle so it is very important that you follow each step!

1. Fill out the raffle intake form.

Through the intake form, we become aware of your plan to launch a raffle using our platform. Our team will build your raffle inside your fundraiser page once we receive this form. To fill out our intake form, click here.

IMPORTANT: You should fill out the intake form every time you are going to run a raffle or 50/50 using Trellis to start the process. No intake form no raffle or 50/50!

 

2. Receive your raffle documents.

Once you have filled out the intake form, expect to receive an email containing the raffle documents you'll need to apply for your license through your provincial gaming authority. These documents are the following but not limited to:

  • Contract
  • Sample Ticket
  • Rules of Play Template(based from your province that you can customize)
  • ERS Addendum
  • Checkout Sample
  • Web Advertisement

Important Note: 
As soon as you receive your documents verify and check each that they contain the correct information before applying for your license.

 

3. Sign your Trellis Raffle contract(if applicable).
If you're new to our raffles or your old contract has ended, you'll need to sign a new one. Look for an email with the contract sent via Adobe Signer. After signing, you'll get a copy, which might go to your junk folder. If you can't find it, reply to our raffle specialist's email containing your raffle documents.

4. Pay for your initial invoice(if applicable).
If you're a new customer, please ensure that you settle your initial invoice before the launch date of your event, as we are unable to proceed with the raffle launch until the invoice is paid.

5. Submit your raffle license application to your gaming authority.

With the documents you have received, you now have all the documents you need to apply to apply for a raffle license using Trellis as your online platform. Your gaming authority may still require more documents about your organization so please ensure that you understand your gaming authority's raffle license application.

6. Make sure your account and page are well-designed and complete.

  • Ensure that you are able to receive payments by setting up your banking account. In certain provinces, organizations are required to have a separate lottery account if you are accepting donations, conducting auctions, selling items, or selling event tickets. Follow this link to add your lottery account and designate a default bank account for other transactions.

  • And for the fun part! Make sure you finish designing your page before your intended start of sales date! Follow this link to help you what to display on your page.

7. Make sure you upload and submit your raffle license and approved rules of play.

Pro Tip:
1. As part of the regulations, it is important to have your rules of play displayed. Don't worry we display these for you. These rules are specific to your raffle and include details such as the draw date and location. You have the option to edit the provided rules or create your own. Please make sure to attach them in the uploader as we are unable to launch your event without them.

 

8. Verify and be sure to check that everything is as you expected by viewing your fundraising page.
After our team has verified your page internally, you will receive an email confirming that your page and raffle are now live. Follow the guidelines provided in the email to ensure that all information regarding your raffle or 50/50 is accurate!

9. Share your raffle or 50/50 page and start raising funds!
You can find your URL in the email we sent to you when we made your page and raffle live.

10. Be ready to manage your raffle sales.

  • How to refund raffle tickets
    Raffles and 50/50 tickets holders cannot be edited and be re-assigned. The only way to void their tickets is to refund them. To learn how to refund click here!

  • Accepting cash and entering them into the draw via backend
    You can sell and accept cash and enter them into the draw via backend using our Sales Entry System tool! Make sure you enter them before your sales end date and time as it follows that restriction as well. To learn how to use the SES click here!
